PRIVATE POLICY OF FOUNDATION OF THE HELLENIC SOCIETY OF PERIODONTOLOGY

 

The protection of your privacy and compliance with personal data protection regulations is of the utmost importance for the Foundation of the Hellenic Society of Periodontology and we inform you through this policy of how we manage your personal data. The update includes the general rules governing the collection of personal data through the website and other applications.

 

The user of this website is informed about the management of the data provided to EPE through contact forms, the data generated through navigation on the website and any other means of the future and through communications of information that may be made by different means, all for the purposes indicated in this policy.

 

A. Who is the data protection officer?

B. What Personal Data We Manage

By registering in HSP, the members' personal data, managed by HSP, are:

- Name and surname

- Telephones and employment

- Postal address

- Email address

- Year of birth and gender

- Degrees and postgraduate degrees

 

If the website visitor contacts HSP through the "contact" section, the information that will be managed by HSP is:

- Username

- Email address

- The personal data included in the text body

 

The user guarantees the accuracy and truth of the personal data provided and undertakes to keep them updated and to inform the HSP of any change.

 

HSP does not accept to receive information or personal data from third parties provided by the user. HSP assumes that in the event that the user transfers personal data from third parties, the user has the necessary legitimacy to do so.

 

C. For what purposes we manage your personal data and on what basis we do this

I. Purposes based on the legitimate interests of HSP.

➢ Managing and resolving viruses or issues and providing maintenance services to our websites and applications as needed.

➢ Response to requests, messages or exercise of rights from users and interested parties.

 

 

II. Purposes based on the user's consent by registering in HSP

➢ Management of the relationship with the registered user

- User file maintenance.

- Sharing the information corresponding to the registration of the member and the actions performed by such a member of the HSP.

- Any other additional information or information necessary for the proper fulfillment and development of the relationship between HSP and member.

➢ If permitted by the HSP member, sending a newsletter.

➢ Management of scientific and other events.

 

D. How long we store your data

The personal data provided by the members of HSP will be kept until the end of its relationship with the members.

 

In any case, they will be stored for a certain period of time based on the following criteria

i) HSP’s legal obligation to store

ii) duration of the relationship with the member

iii) request to delete personal data

iv) member deletion

 

Additionally, the HSP undertakes to manage and collect personal data:

• In a legal, fair and transparent manner

• In an appropriate, relevant and limited manner

• For as long as is strictly necessary

 

HSP also undertakes to respect the principles of privacy by design and by default as well as the principle of accountability, as established in data protection regulations.

 

E. Will we share your data with third parties outside of the HSP?

We inform you that your data may be managed by third parties other than the personal data protection officer in two cases:

i) management order from HSP to a service provider

II) transfer of data to third parties due to a legal obligation or request from an Authority.

 

The personal data protection officer may have third-party service providers, who may manage your personal data for the appropriate provision of services such as website maintenance or management of scientific or other events.

 

Data management carried out by third parties will be carried out in accordance with the purposes as described in the "Purposes of management" section and will be legal to do so, based on the Data Management Agreement signed between the provider and the personal data protection officer.

F. What rights you have regarding the management of your data

The information provider can exercise his/her rights in accordance with the following information and in relation to the limitations of the rights, as they are included in the data protection regulations.

 

Rights of the information provider:

- Access

Right to confirmation from the personal data protection officer if the personal data concerning him/her is subject to processing and, where this is done, access to this data.

- Rectification

Right to rectification by the protection officer of inaccurate personal data concerning him/her.

- Delete

Right to deletion by the protection officer of personal data concerning him/her.

- Refusal

Right to refuse, for reasons related to his/her specific situation, at any time the processing of personal data concerning him/her, which is based on the performance of a task in the public interest or on legitimate interests pursued by the personal data protection officer.

- Management limitation

Right to restrict the processing of personal data by the data protection officer in any of the following cases:

• The accuracy of the personal data is challenged by the provider, allowing the data protection officer, for a time period, to verify the accuracy of the personal data.

• The management is unlawful and the information provider opposes the deletion of the personal data and instead requests the restriction of its use.

• The personal data protection officer no longer needs the personal data for processing purposes but is required by the provider to establish, exercise or defend legal claims.

• The provider has refused the processing of his personal data pending verification whether the legitimate objections of the personal data protection officer prevail over those of the provider.

- Withdrawal of specific consent

The data provider has the right to withdraw his/her consent at any time.

 

Ways of exercising rights:

The personal data provider can exercise his/her rights by sending a communication to the attention of the personal data protection officer, Giorgos Charalampakis (45, Karneadou street, 106 76, Athens, with an email address: g.charalampakis@gmail.com

 

In any case, the provider will indicate which right it exercises and where necessary will provide additional information.

 

To exercise any right, a copy of an identity card or a document proving the identity is required.

HSP will respond to the request within the legal deadlines and taking into account the respective legal framework.

 

You always retain the right to address the Personal Data Protection Authority, which can accept the submission of a complaint either in written form in its protocol (1-3, Kifisias street, 11523, Athens) or in electronic form ( complaints@dpa.gr ).

 

However, we strongly request that you contact us before submitting a complaint, through the methods described above, in order to deal with the request more quickly and to clarify any doubts that have arisen.

 

If one exercises his rights, it is possible that the personal data will remain blocked, at the disposal of the competent authorities, in accordance with the personal data protection regulations, to comply with the responsibilities that may arise from the processing.

H. Can the privacy policy be modified?

HSP reserves the right to modify the privacy policy at any time and in case of substantial modification of the terms undertakes the obligation to inform its members & users of the website & other applications about the new terms that have been introduced.

 

We recommend the user to be periodically informed about the privacy policy because at the time of using the website the published privacy policy is in effect.
