For Registration
Registration fees are determined by the following time limits:
Early bird registration: until 10 April 2026, 23:59 WEST
Regular registration: until 29 June 2026, 23:59 WEST
Late and Onsite registration: until 4 July 2026
• All registration fees are quoted in Euro (€) and taxes are included.
• Payment in any other currency will not be accepted.
• Any modification on the VAT number, address or financial documentation, requested after the issuing of the invoice or receipt, will result in an administrative fee of up to € 250.
• Registration will only be confirmed upon receipt of payment in full, as well as proof of status (if and where is required). If the registration form and/or the full payment have not been received before the deadline indicated above, the registration will be cancelled OR the next category of registration fee will automatically be charged.
• You will receive a confirmation email once your registration is completed. Please note that your registration will only be considered valid when the outstanding balance is zero. You are advised to have this confirmation in your easily accessible records, should there be a need to present it at the registration desk at the Congress venue.
Membership
To be registered for the conference under one of the EAPD Member registration categories, the delegate must have an active membership at the time of registration. No refund will be made for delegates who acquire or renew their membership after the registration has been confirmed. Payment Details
• You may pay your registration fee by debit/credit card (AMEX is not accepted). Google Pay and Apple Pay are also accepted.
• For issuance of invoices with an address within the European Union, the respective VAT registry number must be provided. The invoicing address and VAT number can be presented during the registration process. VAT number will not be required if not applicable.
Cancellation & Substitution Policy
For any cancellation or substitution of your registration, the Professional Congress Organiser (CONVIN S.A) must be notified in writing by e-mail at registrations2026@eapdcongress.com
Registration cancellations or substitutions are subject to the following conditions:
Registration Cancellation
• EAPD offers the possibility to cancel any registration within 10 days from its payment without any cancellation fees.
• Until 10 April 2026 (23:59 WEST): registration fee will be refunded and an administrative fee of € 50 will be deducted from the amount.
• From 11 April 2026 onwards: No refund granted.
Substitutions/ Name changes
• Until 28 February 2026: At no extra cost.
• From 1 March until 10 April 2026: With an administrative fee of € 100.
• From 11 April 2026 onwards: no name changes will be accepted.
• Non-shows at the congress will be charged a full fee.
• A fixed price of € 50 will be charged for the replacement of lost badges during congress dates.
• All refunds will be processed within two (2) months following the conclusion of the Congress. Any related bank charges will be borne by the Participant.
Other terms
• Non-shows registrations will not be refunded.
• A replacement fee of € 50 will be charged for lost badges during the Congress.

CONVIN is the official "EAPD 2026" partner for hospitality services (i.e hotel accommodation) and is the only agency offering hospitality services in the city of Liverpool on behalf of the "EAPD 2026".
As the official housing agency, CONVIN provides professional customer service & support for all your hospitality needs.
We can secure your room in a wide range of hotels in the area of the Congress venue, Liverpool United Kingdom ACC Liverpool. Early booking is highly recommended.
Individual Reservations: Participants can book their hotel room/ other services online at the official Congress Registration Form
Group Reservations: For group bookings (5 rooms or more) please contact the EAPD 2026 hospitality services team by e-mail at registrations2026@eapdcongress.com
Group reservations are not accepted online as different terms and conditions apply.
Hotel Reservation Terms
- Room rates are quoted in Euro, per room, per night, including Breakfast and VAT.
- Liverpool City Visitor Levy ranges from £2 to £ 2,4 per room per night, depending on the hotel. These amounts should be paid directly at the hotel by the guests.
- Check-in time is 15:00 and check-out time is 11:00 unless noted otherwise on the registration form.
- Rooms are available from July 1st to July 4th, 2026. Any query for extension of dates will be handled upon request and will be subject to the hotel's availability.
- The official accommodation partner for the EAPD 2026 is CONVIN. Any queries regarding the accommodation should be addressed only to CONVIN. Please note that hotels will not accept any changes, cancellations, or payments directly except the climate tax direct settlement mentioned above.
- No reservation will be handled without pre-payment.
- In case taxes and/or VAT change, the Professional Congress Organiser reserves the right to change the rates accordingly.
- You are kindly requested to advise the Professional Congress Organiser for any special requirements you may have (disabled person, specific dietary requirements, non-smoking room etc) at registrations2026@eapdcongress.com
- Any pre- and post-congress date bookings must be fully paid after the confirmation of the availability, within the specific deadline date given through correspondence by CONVIN.
- Your accommodation booking will be secured and valid only upon receipt of the full payment to CONVIN (Professional Congress Organiser & Official Housing Agency), In case of payment through Bank Transfer, please forward the bank slip for cross-reference purposes to our Hospitality Department at registrations2026@eapdcongress.com
Upon receipt of the respective amount, your accommodation booking will be confirmed by e-mail. In case no payment is received within 7 working days from submission of this form, the Professional Congess Organiser will have the right to cancel the reservation. - CONVIN cannot be held liable for any damage or loss of any hotel property during the stay of the guests/ Participants. The guests will be exclusively and solely responsible for any damage or loss caused in the hotel rooms, or any public areas within the hotels’ premises.
Cancellation & Alteration Policy
Any cancellation of your hotel booking is acceptable only in writing by e-mail to registrations2026@eapdcongress.com The below mentioned cancellation terms apply only on the Congress dates (July 1st, 2nd, 3rd and 4th). Pre or post-Congress confirmed extra dates, will be granted with full cancellation charges.
For written cancellations received until 20 March 2026, no cancellation fees will apply. For written cancellations received between 21 March and 8 May 2026, a cancellation fee equal to 50% of the total cancelled service will apply. From 9 May 2026 onwards: no refund granted for any cancellation received.In case of change of the arrival date, or check-in time, please inform the Professional Congress Organizer in advance, so that your reservation will not be considered as non-show. Full cancellation fees apply for non-shows.
Alterations / Name changes
- Name changes to the room bookings should be communicated simultaneously in writing by e-mail to registrations2026@eapdcongress.com otherwise the initial reservation will be automatically considered as cancelled.
- In case of name change until 1 June, 2026, an administration charge of 30€ applies (per room).
- After 2 June 2026, no name changes will be accepted.
- Alterations in the total days of stay will be subject to the cancellation policy hereby mentioned.
*All refunds will be processed within two (2) months after the closing of the Congress and bank charges associated with this will be the responsibility of the Participant.
Miscellaneous
By registering, you accept as well to respect on site the following instructions:

- Hazardous substances are not allowed in the venue premises.
- Safety and security measures need to be respected.
Liability and Insurance
No right to further claims or waiving of fees will arise should the Organisers be obliged to alter the schedule of Congress proceedings.
Participants are encouraged to make arrangements on their own insurance regarding cancellation, travel, loss of personal belongings, accident, etc. The European Academy of Paediatric Dentistry (EAPD) accept no liability.
In the event of special or unforeseen circumstances beyond their control, the Organisers shall be entitled to cancel or modify the Congress dates. Registered Participants shall not be entitled to compensation for any loss or damage incurred as a consequence of such a cancellation or change.
Data Privacy Statement
The information you supply in the online form is required for processing your registration and will be held in the customer data files of the Organisers. They may be used for marketing and communication purposes only by The European Academy of Paediatric Dentistry (EAPD) and the Professional Congress Organiser (CONVIN S.A), within the context of this event or other educational meetings of the same or similar thematic.
The information you provide us with will remain in the Organisers’ archives, in electronic format, and access will only be allowed to persons under the control of the Organisers and on their instructions, in accordance with the legislation applicable.
Your personal data will be maintained by the Organisers for as long as no explicit objection has been stated. In any case, you retain the rights provided by the law applicable, namely the right to request access to or correction of your personal data, to oppose to the processing of all or some of them, to have your personal data deleted after completion of your participation in the Congress, etc.). To exercise any of the aforementioned rights, or for any issue referring to the use of your personal data, please contact the Organisers in writing at registrations2026@eapdcongress.com To ensure that your personal data are used according to your wishes, we urge you to mind the Data Privacy section and respective authorizations, when filling in your registration form.
Code of Ethics
ΕAPD is committed to providing a professional friendly and safe enviroment for all participants regardless of gender, sexual orientation disability, race, ethnicity, religion, national origin, or other protected class. All participants inclusive of delegates, staff, speakers, exhibitos, and other guests, are expected to follow a code of conduct. Unacceptable behaviours may include but not limited to intimidation, harassment, abuse, discrimination, inappropriate use of images, real or implied threat of professional or financial harm, disruption to the event, unauthorised photography unauthorised audio or visual recordings of slides and presentations an unauthorized sharing or promotional/advertisement materials. EAPD reserves the right to take action if this code is breached. This may result immediate removal from the event without refund and a ban from attending in the future events.
Disclaimer
The participant acknowledges that they have no right to sue the organisers for damages should EAPD congress not be held or if it is postponed for unexpected political or economic reasons because of Force Majeure or any event described in the above mentioned sections. Program changes that occur due to non-appearance of speakers or other occurrences outside EAPDs control, will not be compensated.
Fraudulent usage
It is strictly not permitted to amend, copy of edit any document issued by EAPD. To do so will result in legal action.
A single registration only permits the registered individual to access this event and its content. The participant badge must not be shared with anyone. EAPD reserves the right to deny/ revoke access if any suspicious activity is detected or reported.
Αcknowledgement
By participating in EAPD 2026, you acknowledge and consent to the use of photographs or videos in which you may appear, taken during the event, for promotional purposes. This may include, but is not limited to, publication on the Congress website or social media platforms.

Modification of the program
EAPD reserves the right to modify the published congress program, should this be considered necessary.
Proof of Status
When registering as a student for EAPD 2026, you will be asked to attach a file that proves your status for the academic year 2025/2026.
Cancellation or Postponement of the Congress
In the event that the EAPD Congress 2026 cannot be held or must be moved or changed due to the following reasons, though not limited to :
An event of Force Majeure is an event beyond the reasonable control of EAPD which prevents EAPD from complying with any of its obligations including but not limited to:
-Special actions taken by the government of local authorities
-Unforeseen political and economic events such as national emergency or any comparable events
-Strike, lockout, lockdown, threats to public safety including terrorism, health hazards or other comparable events
-Act of God such as but not limited to fires, explosions, earthquakes, drought, tidal waves and floods
-War hostilities, whether war be declared of not) invasion, act of foreign enemies, mobilisation, requisition, embargo, national mourning, rebellion, revolution, insurrection, military or usurped power or civil war.
-Contamination by radioactivity, from any nuclear waste from the combustion of nuclear fuel, radio active toxic explosive, or other hazardous properties of any explosive nuclear assembly component of such assembly.
-Riot, commotion, go slows or disorder closure of airports and train stations
-Acts or threads of terrorism
-Pandemic or epidemic situation and other major health risk whether declared as such or not by potential or actual health risks eg pandemic flu or other disease for the participants to the event and the patients to the extent that the risk of disease spread is considered as serious by a significant part of the scientific community or by a significant number of health authorities worldwide or specifically at the place of the event. However the lack of a formal warning by the health authorities or other governmental bodies shall not be interpreted as meaning absence of health risk for the purpose of the present provision. By assessing the existence of the potential or actual health risk the parties agree to fully take consideration the special position of EAPD as a medical organisation and of its duty to avoid ot the largest possible extent all and any risks of contamination for its patients.
Due to official orders, recommendations or at least economically unfeasible official requirements for which not of the parties is responsible or due to the unreasonableness of the event implementation.
When 40% or more of the event participants must adhere to mandatory quarantine in home country/countly where the event will be held or not permitted to travel due to ban from their perspective hospitals/countries or immigration restrictions by country where the event will be held.
-Any other reason beyond EAPD control that prevent or substantially hinder the plan of holding the Congress.
EAPD cannot held liable by participants for any damages, costs, or losses incurred such as transportation costs, accommodation costs, financial losses, etc. Under these circumstances EAPD reserves the right to retain the entire registration fees and to use those for the next edition of the Congress, which the participant can attend without paying further fees. Alternatively the participant can receive a reimbursement of registration fee minus any costs incurred by EAPD for the organisation of the affected event, which could not be recovered from third parties.

You are strongly advised to be alert for unauthorized agents who may contact you directly by email or phone, offering their services.
CONVIN S.A is the only authorized agency for EAPD 2026 as the officially appointed Professional Congress Organiser.
